Opportunity:

Upon going live with integrated ERP software, our state-wide, Alaska-based client discovered that their implemented system did not adequately address critical end to end business processes. Additionally, the system’s user community did not possess the training and documentation necessary to efficiently use the new software. This client was faced with having to manage their rapidly growing business with the additional challenge of having to resolve a cascading flow of issues caused by the flawed system implementation. Recognizing these challenges, the company postponed the implementation of critical general account and year end financial reporting functionality until the original set of implemented functionality (sales, distribution, procurement, and inventory control) could be stabilized. Agilence LLC was the IT solution provider asked to assist in getting the implementation back on track. 

Our Response:

Agilence LLC developed and executed a detailed System Stabilization project plan, by quickly gaining a solid understanding of technology platform and system functionality.  The plan included:

Rework of the existing System Design to more closely align functionality with business rules and processes, creating the perfect loop between the business processes and the implemented technology

bullet

Delivery of critical functionality required to support year end close and financial reporting capability, a high priority strategic objective

bullet

Documentation of system functionality supporting critical processes and delivery of User Training in those processes, creating the perfect loop between people, processes and the implemented technology

bullet

A plan for identified and prioritized future System Enhancement opportunities upon initial stabilization

The Outcome:

Within 8 weeks of project inception, our client was able to:

use the new system to close the fiscal year and to provide financial reporting to internal and external business partners.

bullet

stem the flow of issues caused by improper system processing

bullet

begin project planning to implement new functionality to automate time consuming manual contract administration

bullet

manage the system so that it worked for them rather than against them.

 

Subsequently, with our assistance, the client has successfully implemented significant new functionality, fully leveraging their initial investment in technology, and continues to consider Agilence LLC a valued and trusted business partner.
